Employees apply for their China visa online, the same way they always have. We handle the passport — one scheduled visit for the whole team, from your office to the consulate and back.
Zero consulate trips. Zero data shared. One pickup covers everyone.
Request a Team QuoteNothing changes about how your employees apply — and nothing about their application ever reaches us. Once someone’s status reads “Submit Passport to Consulate,” that’s where we take over.
Each traveler completes the official China visa application themselves, at their own pace, on their own account — exactly like today. Once their status changes to Submit Passport to Consulate, their passport is ready to join the next batch.
Once a group of travelers is ready — for many teams that’s 10 to 15 people a month — we schedule one pickup at your office. Every passport is logged individually, and your coordinator signs a single batch manifest covering the whole group.
Our authorized representatives submit each passport at the Chinese Consulate in San Francisco — no appointment or queue ticket needed on your end.
Your coordinator gets a single per-traveler status digest instead of ten separate check-ins, so you always know exactly where the batch stands without chasing anyone down.
As visas are issued, we collect the passports and bring the whole batch back to your front desk in one drop-off — logged and manifested, ready to hand out.
If your company designs, builds, or ships silicon, someone on your team is flying to China this quarter. We keep the passport errand off your office manager’s plate — for one trip or every trip.
Not Just Semiconductors Hardware, software, finance, biotech — any Bay Area company sending a team to China gets the same batch pickup service. Groups as small as three travelers qualify.
Traveling Solo? Our individual concierge service handles the consulate trip for single travelers at a flat $199.
Before a single passport moves, most teams hit the same two snags: nobody has a compliant visa photo, and someone always has a question about the application. We handle both, on your schedule.
We come to your office on a scheduled date and take compliant China visa photos for your whole team, back-to-back. No trip to a photo counter, no guessing whether it meets spec.
Employees can call or email us directly with questions about the application — M visa vs. business travel visa, what a specific field means, how to describe their itinerary. We advise; they still submit their own application, so nothing about their trip or role ever leaves the company.
You’re vouching for whoever handles your colleagues’ passports. Here’s exactly how we treat that responsibility — and why there’s nothing of yours for us to lose in the first place.
Tell us the travel window. We track submission timing against it and flag anything trending late — while there’s still time to react, not after.
Each passport is individually logged the moment we pick it up, recorded on one signed batch manifest from your office to the consulate window and back.
We never ask for passport scans, application answers, or employment details — employees complete their own application, on their own account. We only ever take custody of the physical passport once it’s already ready for the consulate, the same as handing it to any courier.
Running a steady stream of travelers? Set a standing monthly pickup date — whoever’s ready that month joins the batch. No re-onboarding before every trip.
Every batch is priced per traveler and scales with your group size. For scale: our individual, single-traveler service is a flat $199. Tell us your typical headcount and cadence — we’ll return a quote within one business day.
* Volume discounts for teams of 5+ travelers
* Excludes consular visa application fees — always itemized at cost, never marked up

* Invoiced per batch — PO and Net-30 available on request
Exactly what they do today — complete the official China visa application themselves, on their own account, at their own pace. Nothing about their application ever comes to us. Once their status reads “Submit Passport to Consulate,” their passport is ready for the next batch pickup.
Yes. We pick up and return passports at your front desk anywhere in the Bay Area. Each passport is logged individually in front of your coordinator, who signs a single batch manifest listing every traveler.
Whatever fits your travel volume. Teams with a steady stream of travelers set a standing monthly pickup date; smaller or occasional trips schedule a one-off batch once a group is ready. Either way, travelers reaching “Submit Passport to Consulate” on different days isn’t a problem — that’s the normal case, and one batch covers everyone regardless of when each person got there.
Yes — as a free consultation, not a filing service. Employees can call or email us with questions about the M visa or business travel visa application, invitation letter formatting, or what a specific field means. We advise; the employee and their company still handle the application and correspondence directly, so nothing about the trip or business relationship passes through us.
Once a batch is picked up, we submit within one business day and the consulate typically processes in about a week. We recommend scheduling a pickup four to six weeks before departure so nothing is left to chance. Sudden trip? Tell us the date first — we’ll tell you honestly whether it’s realistic and can prioritize that passport within the batch.
Anyone who already holds a valid visa simply isn’t part of that batch — no cost either way. Non-US-citizen employees are common on Bay Area rosters, and requirements can differ by nationality, so we always confirm which passport each traveler is using before it goes into the batch, rather than assume.
One invoice per batch. Purchase orders and Net-30 terms are available for standing accounts — just ask.
We never collect it. Employees complete their own visa application on their own account — passport scans, photos, and employment details never pass through us. We only take custody of the physical passport once it’s already ready for the consulate, exactly like handing it to any courier. There’s nothing for us to store or secure, because we never have it to begin with.
No one can — approval and processing time are the consulate’s call. What we control, we commit to: submission within one business day of pickup, and early warning to your coordinator if anything is trending late against a departure date.
It has never happened — every passport is logged and signed for at each handoff. In the unlikely event one is lost or damaged while in our care, we cover the full cost of expedited replacement through FedEx’s professional passport service, which reissues a passport in as little as 2–4 days. The full written custody and liability terms come with your quote — before any passport changes hands, not at the handoff.
No. Standing accounts keep your pickup schedule and account contact in place year-round — the next batch is one email away, not a new project.
I’m Allen, founder of ChinaVisa Concierge, based here in the South Bay. I started this service after losing a day in line at the SF consulate for fifteen minutes at a window — and built the business version for the office admins making that same trip with a stack of colleagues’ passports.
Every business account runs through me: one direct line, one accountable name, no ticket queue. Before your first batch, I’m happy to come to your office, walk your team through the pickup and handoff process in person, and answer any questions about how it actually works.
